Front Desk Assistant

Job Description

We are looking to add to our Front Office Team here at Central Florida Eye Specialists! We have two main locations, Deland and Orange City, and are opening another one in Lake Mary. You must be willing to travel to each of the main locations as well as each of our satellite locations, Ormond Beach, New Smyrna Beach, and Orlando. We want someone energetic, punctual, organized, someone who can multi-task, have a positive attitude and work well with others.


  • High School Diploma or GED.
  • Experience answering multi-line telephones.
  • Able to work late when necessary (until 7pm).
  • Able to travel to New Smyrna Beach, Orlando, and Ormond Beach offices as needed.
  • Proficient working with computers. Confident learning new computer programs.
  • Type a minimum of 35 WPM.

JOB SUMMARY: Responsible for patient check-in, answering telephone calls, making calls, faxing, scanning, and patient check-out. Every patient shall be treated in an enthusiastic, professional and courteous manner. Create and review patient charts to verify necessary information and signatures have been obtained. Enter new patient information into the computer. Collect co-pays and past due balances. Schedule patient appointments both in person and over the phone, gathering all pertinent information from patients (insurance, demographics, referral information), and entering all information in the computer. Ensure kitchen, patient waiting areas, and restrooms stay stocked and clean. Collect faxes and distribute or scan items to the appropriate location. Call patients that have been referred, have missed their appointments, have upcoming appointments, and have been away from the practice for more than one year. Check out patients at the end of their appointment and schedule follow up appointments for them. Properly enter medical coding using ICD-10 system. Closing each office at the end of each day involves balancing charges as well as payments. Ensure patients feel welcome to the practice and continue to return in order to receive top quality health care treatment. Attend monthly departmental meetings. Daily arrival time varies on position from 7:45am-8:30am.

Trained on all aspects of the job (check-in, phones, and check-out). Required to know each position entirely. Staff will rotate between all positions in the DeLand and Orange City offices. Staff will also be required to go to the New Smyrna Beach, Orlando, and Ormond offices on a rotation basis.

  • Check-In
  • Responsible for patient check-in, greeting everyone in a pleasant and professional manner.
  • Track patients in the reception area and communicate with them and clinic as needed-carefully monitoring wait time.
  • Evaluate chart data to verify all information has been received, completed, and signatures obtained.
  • Scan patient’s insurance card and photo ID.
  • Take photographs of new patients for their chart.
  • Complete patient demographic information as needed.
  • Help new patients and established patients needing an update to sign electronic forms.
  • Collect co-pays and balances from patients.
  • Knowledge of Insurances that we take and do not take as well as special requirements needed.
  • Provide backup support for check-out and phones.
  • Keep waiting room clean and tidy, keeping coffee and supplies stocked for patients.
  • Complete BSM Consulting Courses.
  • Complete Brevium calls for patients that are overdue for visits.
  • Schedule patients.
  • Arrival Time: 7:45am / Lunch 11:30am-12:30pm / End Time: 4:00pm; may be later if need to finish daily responsibilities.
  • Phones
  • Schedule all appointments with the appropriate physician to ensure top quality care to patients.
  • Confirm appointments daily.
  • Cancel and reschedule appointments as necessary for no shows.
  • Answer telephone calls promptly (two rings). Address the patients’ needs. Direct all calls to appropriate personnel. Identify emergency triage calls appropriately.
  • Keep active cancellation list and use as necessary.
  • Stay on top of Reschedule list as Physician or office schedule changes.
  • Knowledge of Insurances that we take and do not take as well as special requirements needed.
  • Assist in general office duties and other duties as required.
  • Responsible for preparing recall cards for month in advance.
  • Call and schedule referral patients.
  • Distribute medical records release, records, faxes and mail.
  • Scan in pt’s correspondence as it arrives/as it is signed by physician.
  • Complete BSM Consulting Courses.
  • Complete Brevium calls for patients that are overdue for visits.
  • Arrival Time: 7:45am / Lunch 12:00pm-1:00pm / End Time: 4:00pm; may be later if need to finish daily responsibilities.
  • Check-Out
  • Properly code Diagnosis to Procedure codes in the computer per the Superbill.
  • Collect any further balances/charges from the visit.
  • Schedule follow up appointments for patients checking out.
  • Post payments (Cash, Check, Credit Card, Care Credit), and keep track of a balanced cash drawer.
  • Deliver payments to the bank at the end of each day.
  • Create a closing sheet/ledger/print outs in order to properly close each office.
  • Provide back up support for check-in and phones.
  • Complete BSM Consulting Courses.
  • Complete Brevium calls for patients that are overdue for visits.
  • Provide backup support for check-out and phones.
  • Arrival Time: OC 8:15am; DL 8:30am / Lunch 12:30pm-1:30pm / End Time: Varies-When finished closing after last patient leaves-typically 5-7pm.


  • Position requires accuracy, thoroughness, and an understanding of the Receptionist procedures and regulations.
  • Requires ability to communicate about these matters. Work is repetitious at times.
  • Skill in operating computer, word-processing software, EMR program, fax machines, and copier machines.


  • Must be able to sit, stand, reach, bend and squat repeatedly during the day.
  • Must be able to communicate via telephone.
  • Must be able to lift up to 10 pounds waist height.
  • Must be able to view and type computer data for long periods of time.
  • Must have manual dexterity to file or look through charts.

Ophthalmic Scribe/ Assistant

Seeking full-time Ophthalmic Scribe/ Assistant to join our team of 3 M.D.’s and 1 O.D. who enjoys working within the Ophthalmic field. Our practice has 2 main locations in Deland and Orange City, and 2 other satellite offices.

Job Summary:

The position exists to assist in the care of the ophthalmology patient. Functions as a member of the clinic team; performing duties as necessary to provide quality patient care. Responsible for inputting medical examination information, Meaningful Use information, and surgical scheduling information into our EMR system. Also, assisting the physician with in-office procedures.

Essential Skills:

  1. Ability to provide accurate documentation and summarization of the ocular physician examination.
  2. Ability to perform and record concise and accurate patient history and preliminary examination.
  3. Knowledge of Ophthalmic medical terminology.
  4. Basic Skills: Computer literacy and excellent typing skills required, Strong organization with attention to details, the ability to multitask and manage multiple projects simultaneously, excellent verbal and communication, and team orientation.
  5. Surgical Assisting skills a plus.

Education / Qualifications:

High School diploma and ophthalmic experience required. C.O.A certification a plus. Will consider training the right candidate.

Medical Receptionist

Looking for a compassionate and energetic individual with excellent clerical, computer, and interpersonal skills. Customer service skills are a must.
Must have your own means of reliable transportation and willing to travel to other locations in the area.

Some tasks include:
